Items displayed in your calendar are based on the calendar preferences set as discussed in the previous topic. In general, ManagePro Todos and Events are displayed in your calendar. If you want any of the ManagePro Todo and/or Event items marked private, this is achieved by clicking the Private Checkbox in the details of either the Todo or Event. By doing so, only the logged-in people assigned to a private item can see them on the calendar.
Private is a flag that can be turned off or on. When checked it simply prevents others that are not are not assigned in the Who field from seeing the records. Can be useful when entering HR or Financial sensitive data.

Note: If ManagePro Sync to Outlook is used, it is important that you, while in MS Outlook designate each Calendar Appointments (which sync to ManagePro as Events and Outlook Tasks which sync to ManagePro as Todos) "private' prior to syncing from ManagePro.
By doing so, items that are marked private in Outlook are synced to ManagePro as Private and only those ManagePro logged in users assigned in the Who field can see these items.
For more information about How to make Outlook Calendar and Task Items private, please refer to MS Outlook help. The instructions vary based on the Windows Operating System and Version of MS Outlook you have installed. However, in Window XP, Outlook 2007, you can right-click on the calendar item and choose "Private" (see below) or open Calendar item and choose Private from the Toolbar. Same is true for Task except most times Private is not an available right-click menu option for Tasks. In this case, also open the Task and choose Private from the Toolbar.

If in ManagePro, you designate Todos and Events "Private" prior to syncing to Outlook, your ManagePro items will sync to Outlook as Private Calendar Appointments or Tasks.
