Why would I use the import feature for People?
Before people can login into ManagePro and be assigned to records in the "Who" field, it's necessary that they first exist in the database.
Generally used when you are getting started with ManagePro and the bulk of your employee data resides in an external program. If the data in this program can be exported to a MS Excel or .CSV file format then employee data can be imported to ManagePro and doing so, decreases the effort in manually entering this data.
Importing People related data into ManagePro
If you have not already done so, create a new database
If you have created a database, and your CSV File is prepared and validated go to the
In the instructions below we will use the ManagePro default People and Meetings View which means that your .CSV file will contain the same columns as in ManagePro or your CSV file contains columns that can be mapped (are the equivalent to) the columns in ManagePro. In the .CSV file example below, the columns are Initials, First Name, Last Name, Employee Id, Email and Phone.

Once your CSV file is valid,

In the People and Meetings View

Right-click in the View and select the Import|CSV File menu option

Click Browse to navigate to the location of the CSV File

The CSV file field is populated with the path and name of your CSV file

Here is where Assigning Field Mapping Occurs
Note: ManagePro Fields are on the left, Captions in the middle column (these are the names you see displayed in ManagePro if the SQL Column name has been changed) and the CSV Column names are on the right.

Scroll the list and highlight the ManagePro field, then on the left under the CSV Column, click the drop down in the right-hand corner where you see "none", then select the CSV Column Name that corresponds with the ManagePro Filed and Caption.

Repeat the step above for each CSV Column you want import

Field Mapping - What is Field Mapping? One of the most common problems in Data transfers or movement is that almost no two applications use exactly the same field names. The Field Mapping allow point-and-click matching of CSV Columns to their ManagePro counterparts.
Browse

Navigate to the location where the CSV file is located
|
Unique ID
|
gives the data type a unique ID (number) and is necessary if you plan to update the same data in future imports

ManagePro
|
The name of the SQL Database Field
|
Caption
|
Name of the Field Caption in ManagePro

CSV Column:
|
Name of the Column in your CSV File which needs to map to the CAPTION. Seeing the ManagePro Fields
are helpful in case SQL database fields have been renamed and can easily be identified under CAPTION

Save Mapping
|
Enables you to save the mapping for future use so that there is no need to map the fields a second time. This is useful if your CSV files are updated and rather than mapping again, you can Load the same mapping or modify it.

Load Mapping
|
Enables you to use previous CSV file mappings for future use

Once complete, click Save Mapping for future use

Enter the Title of your mapping and an optional description

Back on the Import ManagePro Items from CSV Window, click Import

The import occurs fairly quick depending on the amount of data
