As part of MPro’s document management system, MPro offers the ability to browse the SharePoint server (if installed and available), and attach/link documents from the SharePoint server site(s) to ManagePro records.   Once in MPro, they appear as attachments on the Documents tab in the Record Details but are links to the documents stored in SharePoint.  Note the description identifies when the document is attached from SharePoint.

Using the SharePoint feature is useful when SharePoint is your central document repository and you want to link to documents from your SharePoint server rather than attaching physical documents in MPro.

 

IMPORTANT:

When documents are attached/linked from SharePoint to MPro records while in MProPlus or MProSmart editions and synchronized to MProLite, these documents are visible in MProLite in read-only mode.

Documents attached from SharePoint to records while in MProPlus can be opened and edited; the changes are saved to the SharePoint document and will also be visible in MProLite.

 

Let’s now discuss how to configure and use this functionality. We’ll address two points:

 

1.

Set-up the SharePoint Preferences in ManagePro

Attach a document from SharePoint

 

Set-up ManagePro SharePoint Preferences

 

In ManagePro, navigate to the Program Button>Preferences>General Preferences>SharePoint

Notify ManagePro that a SharePoint server exists by completing the configuration

 

1.

Check the Enable SharePoint Document Management checkbox

Note: The Select SharePoint Site dropdown box will auto- fill in response to the next two steps. If you already have SharePoint sites setup they will be available for editing by selecting them from the dropdown box.

2.

Add Site URL (This will be the basic url without the folder name)

Enter the Folder name

Uncheck the “Use Default Credentials” if login is required, otherwise keep checked

5.

Click Save

6.

Click Add and repeat the steps above to add additional SharePoint sites

7.

When complete click OK

 

Note: You can add as many SharePoint site URL’s as you like by clicking the Add button and then access the site from the “Select SharePoint Site” dropdown.

 

Attaching a document from SharePoint

Navigate to a record in ManagePro Main Workspace

Open the record details and click the Document tab

Click the “Attach a SharePoint” icon. Doing so enables you to browse to the SharePoint site location established in the ManagePro General Preferences

Select the Document and click OK

Once the document is selected, click OK and enter the Title of the Document and click OK

Note: SharePoint documents are available in a read-only format within ManagePro.  If you wish to edit them, you must first check them out from SharePoint and then save your changes back to a new version in SharePoint. In the new SharePoint if the user is a SharePoint Administrator they will be able to save changes to the document. After they edit and click save a SharePoint dialog box will open to ask where they want to save the document on the SharePoint.
