Goal Status Logic

Summary:

The objective of ManagePro in the design of the Status field, is to enhance visibility of a goal’s status, and validate it against the start and due dates, in order for it to be logically consistent with the start and due date milestones.

 

Below we describe the following:

1.

Five Rules for Understanding how the Status Field Logic works

2.

Status configuration which allows you to display the color globes (status indicators) and, or make changes to the status values.

3.

Precautions to consider before configuring status values which will have an impact on how the status behavior functions

 

 

Five Rules for Understanding how the Status Field Logic works in ManagePro:

 

1.  Not Started” is the default value, that is, it is the value automatically entered into the Status field when-ever you create a new record.

 

2. The status value of “Behind” is automatically assigned to records if:

a) The calendar date equals “Start Date” plus 1 day, and the status value has not been manually set to something other than “Not Started” (so as to avoid records being past their Start Date and still showing Not Started, as ManagePro considers the status more accurately at that point to be “Behind.”)

 

b) The calendar date equals “Due Date” plus 1 day, and the status value has not been manually set to “Done” or any status value other than “On Track” or “Not Started”.

 

3. Unless set to manual over-ride, status values “roll-up” from children (indented) records to parent (up the outline level) records.  The status value that rolls up from children to parent records is the lowest status value as defined by the order of status values found in the Goals/Status values in the Terminology section.  (Ex.  If a parent goal has two children goals, one with a status of Not Started and the 2nd with a status of Behind, the parent goal will display a status of Behind, because a) Behind is lower down the list of status options than Not Started, and b) the lowest children record’s status values roll up to the parent.

 

4. If the option of “Status Manual” is checked, the status of that record will be solely determined by what is entered in the status field, not by the status values of children records, and a blue triangle will appear in the upper left hand corner of the status field.

 

5. If the option of “Status Ignore” is checked, the status value of that record will not role up to any parent records above it in the record hierarchy, and an orange triangle will appear in the upper left hand corner of the status field.

 

2. Goal Status Configuration: The ManagePro Default Status values, found at: Program Button/Preferences/Terminology

Select the Goal Data type

Choose Status from the Select a List to Edit “picklist’

Click Add

Type over the New Item Entry in the Text column

Enter a Description

To Display the Color Globes check the “Display Color Globes” Doing so, displays the results as shown below and of course the color of the globes displayed is based on your color selections.

You can identify which status value is the default in the Status pick list by checking the Default checkbox in next to the value.

This means that when adding a new record, the default status value (as shown in the example above)  will be “Not Started” unless you change it.

 

3. Precautions

You can change the number of options available in the Goal Status Field, as well as their names, using the Terminology command on the Program Button menu. However, be aware that specific logic is tied to the status categories of “Not Started”, “On Track”, “Behind” and “Done”.  Changing or deleting those values will interrupt the status logic embedded in ManagePro that has been described above.

 

Note:  You can rename the “Done” option, but you cannot delete it. It is used in view, where you are given the option to hide records that have been completed using the ribbon filter.
